What is the Export Approval Profile?
This profile is identical in permissions to other admin users, but allows for an unlimited number of rows to be exported. You must be approved in order to access it. Here’s how it looks in comparison to other admin profiles:
Why was this profile added?
While we limit the number of rows that users can export normally, we understand that users do sometimes need to export large amounts of data, primarily for district-wide mailers. We created this profile to accommodate users who need to export an unlimited number of records.
Why are export limits being changed?
In order to protect Texas voters’ data, we have placed new restrictions on the number of rows users can export at once for all users. Exporting huge numbers of rows increases the risk that the information we’ve worked so hard to cultivate will be misused. Here are some common examples:
Ensuring users and consultants do not create their own private databases
Preventing folks from export the entire TDP database before switching parties or sharing a mass export with Republican candidates
Stopping bad actors from obtaining massive amounts of contact information and selling it to telemarketers or scammers
How do I request this profile?
To request an Export Approval account, please submit a help ticket here: https://txdem.co/van-help. Please explain which campaign/organization you are with and why you need to export additional rows so we can get back to you promptly.
How do I use an Export Approval Account?
This profile is a separate user account, and will not simply upgrade your permissions. You will have to link this new account to your existing ActionID.
We recommend that you continue to use your main account for your activity, only switching to this account when you need an expanded export.
When you are ready to export you will need to share the list you created with your export approval account. The easiest way to do so is to create the list on your primary account and share it through a folder.
Sharing a list First, swap back to your primary account and use Create a List to find the voters you will need to export. Then, from the My List screen, select “Save List As.”
On the next screen, you will save your list into a folder. We recommend saving as a Saved List and creating a new folder for this purpose.
Once you’ve saved your list, navigate to My Folders and click into the folder you’ve just created. In the top right, select Edit Folder.
Lastly, select the Export Approval Profile from the “Users without Access” field and Add it to the folder.
Exporting your list
To export your list, start by swapping back to your export approval account,
Remember that you will only be able to export this list from your export approval account. If you do not, your export will fail.
Then, navigate to My Folders, and open the list you need to export. From there, click on My List and select the “Export” option.
Then, you should be directed to the Export Wizard screen. From here, you’ll need to select an export format. “Standard Text” is the default, but each option is useful. “Contact History List” will show all prior contacts for your list, while “Household Mailing List” is an easy way to export the information needed for a large mailing campaign.
You can customize your format by selecting “Customize Export,” where you will be able to select the various fields you would like included. The “Standard Text” format is the simplest to customize and contains the least number of defaults.
You will then be directed to a new screen that reads New Export Request. Here, please fill out a name, detailed summary, and the date you require this export by. Here is an example of a filled-out request:
Once you have submitted a request, you should hear back from a member of the Texas Democratic Party data team shortly. Once approved, You will then be allowed to finish your export. Please allow up to 24 hours at most for a response, and please submit a help ticket if your deadline is approaching without a response.
Please note that the 24 hour wait period is applicable only if your request is received during the business week, except in the period leading up to a major election. If your request is urgent, we advise either requesting several days prior, or submitting a help ticket to check on the status of your request.
